We are looking for a sharp, trustworthy Executive Assistant to help our CEO move faster.

Summary

The Executive Assistant exists for one reason: to free up the CEO to spend his time on what only he can do. You take the repetitive, time-eating work off his plate, and you run it better than he would.

This seat is part executive assistant, part personal assistant, and part property manager. Some days that’s the inbox and the calendar. Some days it’s a vendor at one of the properties, a stack of paperwork, a team outing, or client gifts that need to go out before the holidays. You are the company’s Swiss Army knife.

You will report directly to the CEO, meet with him every day, and work closely with the Integrator, the Operations Manager, the HR Manager, and every department lead in the building. You do not need an aviation background.

  • You’re steady when it gets busy. Ten things land at once, you sort them, and you start knocking them out.
  • You speak up. If something is falling through the cracks, or a plan doesn’t make sense, you say so.

What You’ll Do

  • Inbox and Calendar: Screen and triage the CEO’s email, run his calendar, book meetings and travel, and make sure he walks into every meeting prepared.
  • To-Do List Ownership: Own the CEO’s task list. Track every commitment, chase the follow-ups, and close the loops with the Leadership Team.
  • Daily Check-In: Meet with the CEO every day to set priorities, get decisions made, and keep things moving.
  • Property and Personal Support: Coordinate vendors, maintenance, and paperwork across the CEO’s real estate, and handle personal errands and tasks when they come up.
  • Business Support: Take on special projects, research, document prep, and light bookkeeping. Jump in and help other departments when they need a hand.
  • Culture and Clients: Plan company outings and team events, and run our client gifting program.

Qualifications

  • Experience: 2 to 5 years supporting an executive, founder, or business owner, or in a similar high-trust admin role.
  • Organized to a Fault: Strong organizational skills and a real eye for detail. You like making lists. You like finishing them more.
  • Excellent Communicator: Clear, professional writing and speaking. You can represent the CEO over email and on the phone.
  • Tech Comfortable: Solid with Microsoft 365 or Google Workspace, including Excel and PowerPoint. Quick to pick up new tools.
  • Financial Literacy: A background in bookkeeping or accounting is a strong plus.
  • EOS Understanding: Direct EOS experience is a plus. If you do not have it, you must be able to grasp it quickly.
  • Flexible: Willing to work a flexible schedule, including some evenings, rare weekends, and very rare holidays. Reliable transportation and occasional travel required.

Pay: $80,000.00 per year
