Front Desk Coordinator Position Facilitate smooth operation of front reception desk functions, focusing on customer and staff support. Assistant to Office Manager and provides administrative support to other departments as needed. Receive phone calls and greet clients & visitors with professional, personable expertise, so that customers understand they and their vehicles are the priority. Front Desk: • Receive all incoming calls and route to appropriate personnel. • Update staff daily attendance log as needed. • Monitor secured front doors for appropriate visitors. • Receive all deliveries. • Pick up and process incoming mail by opening and scanning to correct staff member (this can be time consuming). – Stamp and send outgoing mail. • Greet incoming visitors and notify staff of their visitor’s arrival as necessary. • Maintain inventory of coffee, drinks and kitchen supplies provided by the company for visitors and employees. • Maintain cleanliness of kitchen on a daily basis. • Maintain office supply inventory and monitor costs through online orders. • Prepare overnight shipments as needed. • Maintain cleanliness of conference rooms before and after meetings. • Send out toners for recycling.

  • Navigate the Crexendo website for our phone system as needed.
  • Process Wells Fargo corporate credit card expenses by obtaining receipts and applying applicable coding.
  • Coordinate offsite meetings as needed.

Accounting Dept.: • Assist in various clerical tasks. Operations Dept.: • Assist with customer complaints: liaison between customers and field directors by taking customer information, emailing a summary to those applicable. • Monitor customer emails submitted through brand websites and distribute as needed. • Update and distribute weekly travel schedule in Excel to Franchise Support Directors. Assist Marketing Dept.: • Assist with various clerical tasks. Other duties as assigned. Education: High-school diploma or GED required. Experience: Minimum five years of previous office / customer service experience preferred. Coordinating meetings, catering, etc. Required Skills: Microsoft Office Proficiency – Word; Excel – Create and modify documents and spreadsheets as needed. Microsoft Outlook – comfortable with sending emails, using distribution groups, Contacts, setting up calendar appointments and reminders. Familiar with researching various items on the internet; positive attitude; ability to adapt.

Job Type: Full-time

Pay: $18.00 – $22.00 per hour
